Haunted House: Safety Orientation 2017

Safety Orientation

Hi, volunteers! Completion of the safety orientation will help all volunteers and visitors to the Haunted House stay, what else -- safe! Completion of the orientation is mandatory for all volunteers, even if you have little interaction with the public. Please read the entire written document, including the accompanying images.

SAFETY FOCUS: Visitor Waiting Lines and Waiting Areas

Doors officially open at 8:00 this year!

If you are on the Event Team (Scream Team) or one of the People in Black, you will likely help with the waiting lines and waiting areas.

The Entrance for SCLC
Location: SCLC
Entrance: Front of SCLC (elevator to 1st floor)
Exit: Back of SCLC  
Time: Area open from 7:30 to 12:00 p.m.

The visitor waiting line WILL BE ON the SIDE of the SCLC Building, and extend between the library and SCLC. The line, if necessary, will continue towards the back of the SCLC building.


Many visitors will be coming from the Horror Film Fest in the SREC Building, which means they will exit out the front of SREC and take the concrete pathway past the Rotunda and toward the front of the SCLC building. Visitors not coming from the Horror Film Fest will come from parking lot areas. If you find visitors at the back of SCLC, make sure to point them to the waiting line in front.



Here are some things to consider if you are working the waiting line OUTSIDE. First, finding the waiting line outside can be confusing. Signage will say “Haunted House” to help with this confusion. Make sure people are lining up between the library and SCLC. The line will form to the side. We will ESCORT groups of 10-15 in the front doors when it is their turn. This is primarily to keep them from seeing around the side of the building, where visitors will exit.  

Second, part of your role is to keep people in line, show their tickets, make sure they’ve signed the waiver, and answer their questions. If you see parents with children, ask if they have any questions, especially about the level of darkness, noises and sounds. Staff will only let up to 10 visitors on the elevator at a time, and only 25 total in the building. If people in line get impatient, tell them that the low number of entrants is for safety concerns and to maximize the haunt.

When the event opens at 8:00, visitors will enter the waiting area, which is the upstairs elevator foyer. Once visitors have entered this waiting area they are considered "ready" to enter. At this point, they surrender their tickets to the ticket taker. All visitors need a ticket to enter. If someone attempts to enter without a ticket, immediately communicate this to Writing Center staff. After surrendering their tickets, visitors will watch the ‘warning’ video, and take the elevator to the 1st floor SCLC lobby.

SAFETY FOCUS: The Fallout Shelter
The Fallout Shelter LOBBY
Location: SCLC lobby (downstairs, inside)
Entrance: Front of SCLC
Exit: Rear of SCLC Building, up back staircase

In this section, you will learn a bit about working event team and/or creative team (performers) in the first part of the Fallout Shelter, located in the SCLC lobby.



This part of the haunt will be extremely dark. There will also be stacked boxes and other goods that can easily fall. SOME OF THESE ARE MOVABLE PROPS and are meant to move around – you will know which ones before haunt night! Also, black bags and/or clear sheeting will be hanging as curtains from the ceiling. As you move throughout this area, be mindful of what is on the floor and what is hanging at all times for your own safety and the safety of visitors.

If you are event team, part of your job may be to fix fallen sheeting or replace boxes and other goods, or to put back moveable props for the next group of visitors.

If you are creative team (a performer), you should be aware of your surroundings and the location of other performers at all times. You may be a Person in Black (PIB) or a Paranormal in this area. The PIBS will move quietly behind boxes and props to move them and are meant to be unseen! If you are a Paranormal you will be visible; your area may be in the decontamination shower area or quietly floating through the maze of boxes.

The SAFE AREA for the Fallout Shelter lobby is the hall by the faculty offices and adjunct office, behind the black curtain. The Safe Area will be clearly marked “SAFE AREA.” Visitors who become ill or get hurt are taken to this Safe Area by staff. If you encounter a visitor who needs assistance, use your walkie-talkie to get Writing Center staff. Common ailments are typically minor, such as headaches or trips and falls. You are not expected to administer any type of first aid. Rather, staff will utilize the emergency services of TCC (58911).



It is possible that parents will bring young children. Remember, this means they have knowingly and willingly signed the disclaimer and should, by the time they enter the haunt, know a bit about what they are getting into! We should all still be mindful of children. Make sure children are not running and disturbing other groups. Remind parents they must be with their children at all times. If parents and children get separated, take the child or parent to the safe area. Some children will come in costumes, so you should also check hazardous costume ties, masks, or other typical costume issues for children. If you notice such an issue, find their parent and help as you can.

The closest FIRE EXTINGUISHER for the area is on the lobby area wall. In the unlikely event of a fire, you will notify a staff member. All volunteers should know the basics of using a fire extinguisher. Those on the event team will have a flashlight and walkie-talkie to notify Writing Center staff in the event of a fire. You are not expected to fight the fire. J Your job is communication.



Later in the safety orientation you will learn more about what to do in the unlikely case of a fire.


The Fallout Shelter HALLWAYS
Location: Hallway by water fountains & faculty offices

The next area of the fallout shelter is the hallway by the water fountains, the hallway directly behind the writing center, and the hallway with faculty offices. In this area will be lots of fog, lights in “toxic green,” and some clear hanging plastic.

If you are event team in this area, you should regularly check the plastic hanging over the water fountains to make sure it has not fallen. A chair will be positioned in this area for repairs. You may also help with fog machines and lights to keep them fully functional.



The creative team in this area will again be either Paranormals or PIBS.
The Paranormals will likely roam through the hallways in a loop. You will be seen, but only in glimpses. Constant motion will keep the illusion going, so be prepared to move!


PIBS in this area will again be responsible for some of the moving props and will be as invisible as possible.

Essential for both creative team and event team in this area is choreographing your moves with others working your area. Know where the other performers are at all times for safety. Again, it will be dark, dark, dark, and foggy in the hallways.

Everyone should also be aware of the glass walls of the writing center. Do not step too far back or you will land on the ledge or even break the glass. If you are on the side of the men’s restroom, be prepared for some to have to use the facilities. Move cordially out of their way to do so. J

The Fallout Shelter WRITING CENTER
THIS YEAR THE FRONT AND BACK OF THE WRITING CENTER ARE CONNECTED. In other words, they are not separate areas. The writing center is considered the living area of the fallout shelter.



Visitors will enter the writing center from the back door. They will go through the back area of the writing center and then continue into the front area.
Visitors will not exit on their own this year! Instead, they will be ‘forced’ by the Hazmat Team out the front door of the writing center and to the quarantine rooms (SCLC 0115).  



The event team will have a huge responsibility inside the writing center. Those working tech will coordinate the lights and sound effects that signal the radioactive fallout alert and, then, the taking of visitors to quarantine by the Hazmat Team. This will take some really dedicated people who will remain unseen most of the night but help with the main scare in the area.

Creative team in this area will include PIBS, Paranormals, and the Hazmat Team. 

The Hazmat Team will move into place after the visitor group is officially closed and locked into the writing center. The Hazmat Team will position themselves around the outside glass of the writing center, where black bags will be hanging. When the warning signal sounds, they will ‘lift’ the bags, revealing themselves to the visitors. They will then storm into the center and force visitors out the writing center doors and into quarantine (classrooms SCLC 0115 and 0117).

In terms of safety, the Hazmat Team needs to be very careful and vigilant. This role is highly interactive and high intensity. It is expected that the team may touch some visitors to ‘force’ them to quarantine. Some Hazmat may also carry prop axes, sledge hammers, or other tools. We will determine how much interaction is necessary to make the haunt scary but also safe. Also, the bags on the outside of the center will be moved up and down throughout the night and might need repair. Bags that fall are slippery, and should be checked between visitor groups. If you are Hazmat Team, you will be essentially running through the hallways, so knowing what is below your feet will keep you safe. A chair will be left in this area for repairs to hanging bags.

Paranormals in this area will largely be in the front. After the signal sounds, the paranormals will ‘come to life,’ surprising the visitors. They will also interact with the Hazmat Team and may be touched!

PIBS in this area will either help with any movable props or walls.

The Fallout Shelter QUARANTINE
PIBS will work the quarantine doors (SCLC 0115 & 0117). After visitors are locked into quarantine for a specific period of time, the Hazmat Team will mysteriously disappear and all will go quiet. It will be the PIBS who, sight unseen, pop open the doors and disappear quickly into the break room. Visitors will hopefully wander out of the rooms.

The event team working the hallway will help visitors make their way to the fallout shelter exit, which leads to the Decontamination Showers.

All event and creative team working in the main fallout area should be aware that this year’s haunt is HIGHLY COORDINATED and TIMED! As such, we should all:

·         Be aware of props such as canned goods, boxes, clothing and other items. Remember, some of these will be stationary while others will be intentionally moved by PIBS throughout the night!
·         Be aware of overturned furniture, which will be part of making the fallout shelter looked ‘lived in.” This may be difficult to maneuver around.
·         Be in regular communication with all creative team and event team working the area and listen for the walkie-talkies and megaphones! Event team and creative team will coordinate the “all clear” to signal that visitors have successfully left the building and a new visitor group can come through.

The Decontamination Showers
The Decontamination Showers are in the brick foyer. Visitors will exit the SCLC building from the back after they get out of quarantine. Once in the area, they will walk under an apparatus that simulates a “decontamination shower,” like they would see in a fallout shelter. Real water will NOT be sprayed on them. It is merely a simulation.


The area will be dimly lit. There will be power cords safely taping down all lines along the brick walls, and they should be checked throughout the night to make sure they do not present a tripping hazard. Another issue in this area is the wire mesh over the little ‘trench’ in the middle of the brick floor. Simply make sure edges are not sticking up so as to present another tripping hazard.

The Fallout Shelter EXIT
The exit from the area is at the top of the stairs. The area is dimly lit, and thus it presents some dangers. There will be some spooky lighting, but it will be mostly dark.  (PUT PICTURE HERE)

WE NEED A SPECIAL GROUP FROM THE EVENT TEAM TO WORK THE EXIT THIS YEAR! Your job will be to HYPE up the visitors because this year there is another area of the Haunted House – the Rotunda!

In the exit area, you will play the countdown clock and give them instructions for the next area. You will “hand off” the visitors to their escort who will take them to Rotunda entrance.

SAFETY FOCUS: The Rotunda

We will use three areas in the Rotunda: the auditorium, the hallway, and the staircase room.

The Rotunda: Auditorium
When visitors are taken to the Rotunda, they will first enter the auditorium. Visitors will sit right up by the screen in the first few rows. In the area, they will see a slideshow and listen to audio that sets up the haunt.

NOTE: Remember that the narrative is that some from the volunteer group scarred by radioactivity in 1967 made it out of SCLC through the tunnels and ended up in the Rotunda.

Event Team: Event team in the auditorium will help visitors find their seats. Members of the tech team will help run the video and audio equipment and lights.

When the audio is over, the event team will take the visitors to the hallway. The hallway right outside the auditorium is where visitors will be blindfolded.

The Rotunda: Hallway

In the Rotunda hallway, blindfolded visitors will have to creep along and find the unlocked door, just as the volunteers tried to do to escape in 1967.



The Creative Team: The performers in this area will be People in Black. The PIBS will ‘follow’ the blindfolded visitors as they creep along the hallway. PIBS will make sounds, audible whispers, and move objects. At the end of the hallway will be a movable wall that PIBS will ‘move’ so that the visitors will turn around and go back the way they came.

The Event Team: Event team in the hallway will help visitors with their blindfolds. The blindfolds are visors so they should fit snuggly to visitors’ heads. Any visitor who cannot wear the visor will be given another type of cloth to put over their eyes. It will be important to make sure the visitors are comfortable before they begin their journey down the hallway.

Event team helping in the hallway will also check to make sure visitors are safe as they move down the hallway. The team should help any visitors unable to keep on their blindfolds, or who trip or fall. As with the SCLC building, there will be a designated Safety Area at the end of the hallway. Your job is simply to help them to the area and notify writing center staff via walkie-talkie.

Event team will also help visitors remove their blindfolds before they enter the staircase room.

The Rotunda: Staircase Room 

In the staircase room, visitors will be prompted to go towards the spiral staircase. The room will look empty and be extremely dark. After they look up the staircase, a signal will sound and Paranormals will come from behind the doors to scare the visitors.



The Event Team: The event team in the staircase room will help with technology, including the lights and sound effects.

Several people from the event team will also help make sure the doors are closed before and after the visitors enter and leave, as well as help visitors safely exit the Rotunda building.

The Creative Team: The creative team in the staircase room will be Paranormals with the most intense makeup. They will come from behind closed doors and chase the visitors towards the exit door.

In terms of safety, one of the most important areas is around the staircase. There will be a rope blocking most of the staircase, but visitors will still be able to climb up a few stairs. Event team should make sure visitors are safe and not running up the stairs or pushing others.

The Rotunda EXIT 

The visitors will exit the Rotunda by the SELE building. It is the side/back of the building if you are coming from SCLC.

Some staff members will be assigned to give T-SHIRT TICKETS at the back of the Rotunda when the visitors exit. The first 50 survivors of the Haunted House on Friday get a free t-shirt! The Scream Team member assigned this task will give the ticket to the first 50 at the exit door before the visitors go to the t-shirt table.

GENERAL SAFETY TIPS

1) Choreograph our moves! The Haunted House is highly interactive, so we should choreograph as much as we can ahead of time. You will get to know those working in your area.

2) Stay physically safe: To stay physically safe, wear comfortable shoes. Make sure your mask (if you are wearing one) fits well, and that your makeup doesn't run into your eyes. Regularly communicate with the other performers to make sure everyone is feeling okay and can take some breaks.

3) Be aware of the layout: Just coming into the writing center will help you know what is around you. Remember that the center looks very different in the dark! The week before and during set up, come by the center so you can get used to the layout.

The SAFE AREA for the Fallout Shelter will be SCLC room 119. The door will clearly marked with the words “SAFE AREA.” In this area will be water, towels, a fan, a medical kit, chairs, and some light snacks.

There are two FIRE EXTINGUISHERS closest to the Fallout Shelter. One is located by the back exit doors to SCLC:



The other is located in the hallway with the water fountains, the men’s restroom and Language Lab.


Remember that both areas will be dark, so knowing where you are going is key. If you are working in the back area of the writing center, the fire extinguisher is closest to the back door of the building. The closest to the front area of the writing center is by the water fountains.

Safety Information for all Volunteers
For all emergency situations, listen for the bullhorns! The Writing Center team and some event team will have bullhorns and communicate throughout the evening. If you hear a bullhorn, follow the instructions, which could include coming to the front of the writing center for brief announcements or check-ins, or information/instructions for emergencies.

FIRE / EVACUATION EXIT: In the unlikely event of a fire or other evacuation, volunteers and visitors will use the back staircase to exit. EVACUATE means to “leave” the building. Elevators should not be used due to potential electrical failure. As with all emergencies, if a warning signal sounds, please look to the clocks, where emergency information will scroll through, including instructions for the emergency. LISTEN FOR THE WRITING CENTER STAFF OR EVENT TEAM using the BULLHORNS for instructions.

LOCKDOWN: A lockdown is typically a security issue from another area on campus or a weather-related emergency which requires us to stay in the building until the issue is resolved. LOCKDOWN means “stay in the building.” In the unlikely event of a lockdown, first, remain calm. Know that Writing Center staff have already been trained with what to do as TCC employees. Second, look to the digital clocks which will scroll with further instructions, and encourage visitors to do the same. Remain in your volunteer area and ask visitors to stay with you.  LISTEN FOR THE WRITING CENTER STAFF OR EVENT TEAM using the BULLHORNS for instructions.

TCC POLICE & AMBULANCE: In the cases of extreme emergencies (which may include, but are not limited to, visitor or volunteer health emergency or physical altercations), the TCC Police will be notified by someone from the Writing Center team. To put your mind at ease, just know there is an emergency “blue box” in the SCLC lobby area, and a panic button in the Writing Center. The Writing Center team will be communicating via walkie-talkie all night, and frequently checking in to keep the building safe and secure. IF YOU WITNESS AN EMERGENCY SITUATION, PLEASE NOTIFY THE EVENT TEAM MEMBER OR WRITING CENTER TEAM MEMBER IN YOUR AREA IMMEDIATELY.

We will have walkie-talkies and communication with the police and emergency personnel.

RESTROOMS: The men’s restroom is in the hallway with the Language Lab. The 
women’s restroom is located in the SCLC lobby area.

WATER FOUNTAINS: Water fountains are located in the hallway next to the men’s restroom.

BREAK AREA: The Break Area for all volunteers is the SCLC classroom 0119. This area will be blocked off from visitors, and will have chairs, water, a cooling fan, and some light snacks.



TECHNICAL ISSUES: It is a good idea for all volunteers to know something about the “technical” features of the Haunted House, which include lighting, fog machines, laptops and desktop computers, computer carts, microphones and speakers. Computer carts with speakers will be used in the hallways, and the waiting areas outside. In the Writing Center, our computers will be used with several large speakers. We do not expect every volunteer to know how to fix technical issues, nor do we want you to. Instead, notify a member of the Tech Team working the event.

PROPS: Props can cause a safety concern for volunteers and visitors. If you notice a broken prop, fallen plastic, duct tape that is not properly sealed, fallen lighting or other prop issues, especially if you think they pose a safety issue, notify a member of the Event Team. They will pass along this information to Writing Center staff or the Event Crew to assess and/or fix the issue.

SAFETY FOCUS: A final note for all volunteers

Above all else, communicate, communicate, communicate! The Haunted House is a relatively small space, and we have taken extra precautions to make sure a suitable number of visitors and volunteers will be in SCLC at all times. If you are in doubt about what to do, find a member of the Writing Center team. We know the building, we know TCC protocol, and we know how to get the help we need.

Haunted House Volunteer & Safety Orientation Agreement
The safety of volunteers is our top concern. Student volunteers will always be accompanied by an adult, during volunteer times leading up to the event and during the event itself. Volunteers are assigned to a particular area of the Haunted House weeks in advance. Student volunteers will not move from that area during the event unless they notify and are accompanied by a member of the Writing Center team, all of whom are TCC employees. Volunteers must complete orientation and training leading up to the event in order to understand these guidelines more fully. Volunteers need to regularly attend volunteer sessions in the Writing Center in order to meet other participants, fully understand the areas of the Haunted House, as well as the plan for the night of the event.
Further, due to the sensitive nature of working with other volunteers and visitors, the risks of injury, and the complicated nature of the Haunted House, it is imperative that the Writing Center team find the right volunteer opportunity for the right volunteer. Not all roles are suitable for all volunteers and, with a limited number of volunteer roles during the event itself, not all volunteers are guaranteed participation in the Haunted House on the night of the event. The Writing Center therefore reserves the right to assign, reassign or reject volunteers based on consistency of volunteering, ability to take direction, willingness to participate with the Haunted House team, acceptance of role assignment, and previous experience with last year’s Writing Center Haunted House. Volunteers will know weeks in advance, during the planning stages, whether or not they will perform or work the night of the event.
Finally, all events such as a Haunted House include some risk of injury which may occur during the planning and set-up or during the event itself. Please note that the Writing Center team is trained in what to do in case of emergency or injury, and we will be utilizing the TCC system for on-site injuries.
By signing below, you acknowledge that potential risks have been explained to you and that you are knowingly and willingly giving permission to your child to participate as a volunteer with full knowledge that there is physical risk potential that may include (but is not limited to):
·         Slips, trips and falls
·         Minor cuts or bruising
·         Headaches
·         Panic attacks
·         Nausea
·         Eye strain
·         Overheating / dehydration
·         Irritation or discomfort from the use of fog liquid
·         Irritation or discomfort from the use of scent effects  
·         Irritation or discomfort from the use of make-up
Moreover, all student volunteers agree to:
·         Follow directions from the Writing Center staff and other TCC personnel
·         Behave appropriately and respectfully to all participants
·         Sign in and sign out for volunteer times and the night of the event
·         Report to designated area on time for the event and remain there for the duration of the event unless explicitly directed by Writing Center staff to another area
·         Treat with care all property and items belonging to the Writing Center
·         Treat with care all decorations, props, lights and other items from the Haunted House
·         Refrain from removing any items or property belonging to TCC and/or from the SCLC building
